SpinOffice includes AI features that help you compose and process emails faster. The AI assists; you stay in control at all times and decide yourself what gets sent. The features fall into two parts: AI for composing emails (SmartMail) and AI for incoming email.
SmartMail: when composing an email
SmartMail improves and rewrites your own text. You type your email in the content block of a template and then choose a variant: an improved version, a formal tone, or an informal tone. With Apply you insert the chosen variant into your text; with Revert you return to your original text. SmartMail is available for free to all SpinOffice users.
AI for incoming email
When a message arrives, you'll see an orange line with icons below the subject in your Inbox. This indicates that AI features are available for that email. You have three options:
- AI Reply: SpinOffice creates a suitable draft reply based on the received email. You can use it directly or edit it first.
- SmartReply: you indicate in one sentence how you want to respond, for example "Thank them and let them know I'll reply later this week." SpinOffice turns this into a complete draft message.
- AI Summary: for a long email, the AI creates a short summary so you can quickly see the gist.
What the AI does not do
- The AI does not work automatically in the background. It only becomes active when you choose to use it, and messages are never sent automatically.
- SpinOffice does not offer a chatbot or AI agent for your website. If you want to engage website visitors with AI, you'll need a separate solution for that.
Privacy and security
The AI features work via a controlled connection with OpenAI. Your CRM data remains separate; prompts and results are not stored or used for training models, and all communication runs over encrypted SSL/TLS connections. Do not put highly sensitive information in prompts, and always review the result. More on this can be found in the AI usage policy.
Disabling
If you want to make the AI features unavailable within your organization for security reasons, a SuperAdmin can turn this off via Management → CRM Preferences. See the separate article How do I turn the AI features off/on for my company?.
In development
SpinOffice is working on further AI applications, such as flagging dormant customers and tips for lead follow-up, with the ambition of a proactive CRM assistant. This is still in development and is not a commitment as to what or when anything will become available.
